Homecare Field Services LLC respects the privacy of clients, property managers, owners, tenants, vendors, subcontractors, partners, and website visitors. This policy describes how we collect, use, protect, retain, and share information when you visit our website, request services, apply as a vendor, upload documents, communicate by telephone, email, or SMS, or submit a form.

Information We Collect

Depending on how you interact with us, we may collect:

  • Name, company name, email address, telephone number, and mailing address
  • Property address, service request information, work-order details, scheduling information, property access instructions, and photographs voluntarily provided
  • Vendor business information, service categories, coverage areas, license information, insurance status, years in business, and documents voluntarily uploaded
  • Emails, calls, SMS messages, appointment notes, work-order notes, vendor coordination notes, and billing communications
  • Browser type, device type, IP address, referral source, and basic analytics information

Uploaded Vendor Documents

Vendors may voluntarily submit insurance certificates, license documents, W9 or other business documents, company profiles, and capability statements. Uploaded documents are intended to be stored using restricted-access systems. Access may be provided to authorized personnel and trusted processors needed to evaluate applications and operate the business.

Vendors should not submit unnecessary personal financial information. Social Security numbers and banking credentials must not be entered into ordinary text fields. W9 and other confidential business documents should be submitted only through the designated secure upload controls.

How Information Is Used

We may use information to respond to inquiries; prepare estimates; schedule services; coordinate work orders; review vendor applications and uploaded documents; communicate with clients, vendors, occupants, and service partners; send appointment reminders and service updates; request documentation; provide support; coordinate billing and accounts payable; maintain business records; prevent fraud; secure and improve the website and services; and meet legal, contractual, insurance, accounting, and tax requirements.

SMS and Text Communications

When you provide consent, you may receive messages about appointment confirmations and reminders, scheduling, work-order updates, service status, vendor onboarding, eligible vendor opportunities, vendor coordination, documentation requests, billing communication, and customer support.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out. Reply HELP for assistance.

Consent to receive SMS is not a condition of purchase or vendor approval. Homecare Field Services does not use SMS for unauthorized cold messaging.

No Sale of Personal Information

Homecare Field Services does not sell, rent, trade, or provide personal information, including mobile telephone numbers, to third parties for their own marketing or promotional purposes.

Limited Sharing

Information may be shared only where reasonably necessary with authorized contractors, subcontractors, service providers, communication and email providers, website hosting providers, cloud storage and database providers, insurance providers, payment processors, legal and accounting advisors, technology providers, government authorities, and other parties needed to complete requested services or comply with law.

These parties may receive only the information reasonably needed for their role and are expected to handle it under applicable obligations and safeguards.

Mobile Information Protection

Mobile telephone numbers and SMS consent information will not be shared with third parties or affiliates for their own marketing or promotional purposes.

This restriction does not prevent Homecare Field Services from using trusted providers required to deliver messaging, scheduling, support, vendor coordination, billing, or requested service communications.

Vendor Information

Vendor information may be used to review vendor relationships, confirm services and coverage, verify insurance and license information, coordinate eligible opportunities, communicate about onboarding, request business documents, evaluate vendor performance, and maintain vendor records. Submitting an application does not guarantee approval or work assignments.

Data Retention

Information is retained only as long as reasonably required for service delivery, vendor review, work-order records, business operations, legal obligations, insurance requirements, dispute resolution, accounting, tax records, contractual requirements, security, and fraud prevention. Specific periods vary by record type and applicable obligations. Information may be securely deleted, anonymized, or archived when no longer reasonably needed.

Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. Uploaded vendor documents are intended to be stored privately with restricted access, non-public object storage, security review controls, and time-limited reviewer access.

No online transmission or storage system can be guaranteed completely secure. Users should submit only information reasonably necessary for the requested business purpose.

User Rights and Choices

You may request access to or correction of your information, deletion where legally permitted, changes to communication preferences, or withdrawal of SMS consent. We may need to verify your identity and may retain information when required by law, contract, accounting, security, or legitimate business-record obligations.

SMS users may reply STOP to opt out and HELP for assistance, or contact the relevant client or vendor communication channel listed below.
